How ISG use Intval to speed up the agreement time of variations

Intval improved the agreement time of variations without a shadow of a doubt, saving me at least 2.5 hours per week on this particular project.

The challenge

  • Having important early warnings and variations being overlooked by client surveyors, hidden amongst lots of other emails.
  • Slow variation agreement times.
  • Running duplicate change logs, which at the end of the project would not align, causing a significant amount of additional work and delay.

The outcome

  • By using Intval’s cloud-based change log both parties log in to the same information, meaning you are instantly on the same page.
  • By using Intval, I know my early warnings stand out clearly with automated notifications and time stamps.

Who is ISG?

ISG is a global construction specialist with an annual turnover of £2 billion covering fit-out, construction and engineering services with 3,000+ employees.

Challenges

The old ways of excel change logs and manually emailing substantiation to the PQS was adequate, but for me, it had several big drawbacks.

The first one being having to manually search for and collate variation substantiation and then somehow issue to the PQS in a formal, trackable manner.

I was finding that often my early warning emails were being overlooked or ignored, as they were buried in a PQS’s overflowing inbox. This inevitably lead to longer agreement times for variations and the potential for “he said/she said” both adding delay and uncertainty into projects.

And finally, more often than not we would be running duplicate change logs (one each), which at the end of the project would not align, causing a significant amount of additional work and delay.

Solution

By using Intval’s cloud-based change log both parties log in to the same information, meaning you are instantly on the same page.

We were able to hold remote video calls to keep on top of project change. Both parties could access the change log with all the relevant breakdowns and substantiations there to review in one place.

Saving heaps of time and encouraging faster agreement.

The fact that the upload facility is available to use in my own time, meant I could work when I wanted to work.

Knowing that the PQS receives formal, trackable notifications when I upload my early warnings gave me real peace of mind.

Key Outcomes with Intval

This software enabled us to be more flexible with how we agreed change and how often we met in person. Allowing us to meet remotely and access the same information really helped keep on top of change.

As all the breakdowns and substantiation were stored against each variation, it made the agreement process far simpler and quicker.

And because you are digitally ‘agreeing’ the costs, it removed the need to send the obligatory ‘agreed’ emails helping cut down the email traffic.

Overall, I think Intval saved me at least 2.5 hours per week on this particular project.

In your own words, how would you describe Intval to other commercial managers?

Intval is an online tool that makes the life of a commercial manager easier.

The best thing is that it collates all your client change information in one place and you both have access to it, saving lots of time for both of you.

It gives you the ability to formally notify the PQS of early warnings which can’t be ignored or hidden among other project emails. With the automated notification and time stamps, it removes the risk of a surveyor ‘not seeing’ an early warning.

I am really pleased with Intval, our team is sold on this solution. We really like the simplicity of Intval and love the idea of ISG being ahead of the game, using cutting edge software.
